Introduction

The goal of this 4 day, instructor-led course is to provide students with the knowledge and skills necessary to begin planning and designing portals using Microsoft SharePoint Portal Server 2003 and Windows SharePoint Services.

The course will focus on the features and functionality included in SharePoint Portal Server 2003 and Windows SharePoint Services, how to use them and how to plan and design for them. An emphasis will placed on covering the full breadth of features and functionality in order to best prepare students for design projects.

Student learning will be facilitated through a combination of instructor presentations and hands-on lab exercises. A sample company will be used in the labs to teach students how to apply SharePoint Products and Technologies from concept to implementation in a typical environment.

At Course Completion

After completing this course, students will be able to:

  • Understand the concepts and terminologies that are unique to SharePoint Portal Server 2003 and Windows SharePoint Services.
  • Plan a project to design and implement a portal using SharePoint Products and Technologies.
  • Identify and analyze the major requirements that will drive the design of the portal.
  • Develop an overall design for the portal including portal hierarchy, areas and topics, user site groups and permissions and document management policies.
  • Identify and understand how to best make use of the major features of SharePoint Portal Server 2003 and Windows SharePoint Services.

Prerequisites

There are no prerequisites for this course.  In fact, the course assumes that the students have no prior experience with SharePoint 2003.  If you are preparing to begin a design and implementation project at your company, you will find that this course is an excellent first step.

Knowledge of the previous versions, SharePoint Portal Server 2001 and SharePoint Team Services, is not necessary. This is primarily because SharePoint Portal Server 2003 and Windows SharePoint Services more closely resemble completely new products than simply the next versions of the existing products.

Course Materials and Lab Environment

Students will receive a comprehensive workbook, which will include all presentation materials and lab exercises.  The lab exercises are step-by-step and fully documented in the student workbook.  To view sample modules of the comprehensive workbook click here.

Each student will be given access to their own SharePoint Portal on the class SharePoint 2003 Portal Servers.  Each student will also have their own Windows desktop and Office 2003 software via Microsoft Terminal Services.  In essence, students will be attending a class where a fully functional SharePoint Portal Server 2003 environment has been set up for their use in learning the products.

Students should bring a laptop computer running Windows XP Professional (preferred) or Windows 2000 Professional.  The laptop must contain a traditional, wired Ethernet network adapter (either internal or external).  The laptop must be capable of running the Microsoft Remote Desktop Connection client software (formerly Terminal Services client) for use with the Terminal Server.

Module 1: Introduction to SharePoint Portal Server 2003 and Windows SharePoint Services

This module introduces SharePoint Portal Server 2003 and Windows SharePoint Services. Key topics discussed include:

  • History and purpose of SPS 2003 and WSS
  • Overview of SPS 2003 and WSS features and functionality
  • Relationship between SPS 2003 and WSS
  • Requirements for SPS 2003 and WSS

Module 2: SharePoint Concepts and Terminology

SPS 2003 and WSS present many new concepts and terms when compared to previous versions of Microsoft’s SharePoint products. This module covers the key concepts and terminology that are needed as a foundation to learn how to use, deploy and support SPS 2003 and WSS. Concepts and terminology that will be discussed include:

  • Portals and Sites
  • Areas, Subareas, Topics and Listings
  • Site Groups
  • Audiences
  • News and Announcements
  • Lists and Views
  • My Site
  • Document Libraries
  • Form Libraries
  • Web Part Pages
  • Web Parts

Module 3: Introduction to the Case-Study Organization

This module introduces, Big Ideas Corporation, the sample company that will be used throughout the course to facilitate learning SPS 2003 and WSS. The introduction to Big Ideas will cover:

  • Business background and strategy
  • Company organization
  • Locations
  • Information-sharing and collaboration issues that the company faces
  • Budget and time allocated for implementing SPS 2003 and WSS

Module 4: Requirements Definition and Portal Design

This module will consist of 1) a class exercise to define the high-level requirements for the Big Ideas portal and 2) development of the overall portal design and discussion of design issues and tips. The key topics that will be presented include:

  • Defining the portal requirements
  • Designing the portal security policies
  • Designing the portal hierarchy
  • Designing collaboration sites
  • Design issues and tips

Module 5: Working with Areas, Topics and Listings

This module covers the use of Areas, Topics and Listings in an SPS 2003 Portal. Topics that will be included are:

  • Creating Areas and Subareas
  • Relationship of Topics to Areas
  • Adding Listings to Areas, Subareas and Topics
  • Modifying the structure of the Portal by using the Portal Site Map
  • Editing Listings

Module 6: The SPS 2003 Site Directory and Creating WSS sites

This module introduces the SPS Site Directory and the process of creating Windows SharePoint Services (WSS) sites from within the Site Directory.  Included in this module will be:

  • Overview of the Site Directory, its purpose and explanation of the tools available to track and find WSS sites
  • Creation of WSS sites and the relationship of sites to the Site Directory

Module 7: Establishing User Groups and Permissions

This module will cover the steps necessary to implement the portal security policies designed in Module 5. Included in this module will be:

  • Explanation of the standard Site Groups and their permissions:
    • Reader
    • Contributor
    • Web Designer
    • Content Manager
    • Member
    • Administrator
  • Editing Site Group Rights
  • Creating custom Site Groups
  • Adding Users and assigning them to Site Groups
  • Setting up Anonymous Access

Module 8: Working with User Profiles and Audiences

This module presents User Profiles, how they are created, where their data comes from and how to manage them. It also covers creating and defining Audiences and Audience Rules. Topics that will be discussed include:

  • User Profile properties
  • Integration with Active Directory
  • Ways to create and edit user profiles
  • Creating Audiences and Audience Rules

Module 9: Creating and Publishing Content

This module first covers the general procedures and options related to publishing content to SPS 2003 and WSS. Secondly, it shows specifically how to use the different types of content available in SPS 2003 and WSS.

  • Creating Content and Content Settings
  • Setting Publishing Dates and Approval Status
  • Using the various Content types:
    • Listings using the Rich-Text Editor
    • Documents
    • Pictures
    • Lists
    • Discussion Boards
    • Surveys
    • News
    • Announcements

Module 10: Creating Collaboration Sites with Windows SharePoint Services

This module gives an overview of creating collaboration sites using WSS. It will present and discuss each of the standard WSS site types. The topics it includes are:

  • Creating and Using Team Sites
  • Creating and Using Meeting Workspaces
  • Creating and Using Document Workspaces

Module 11: Using My Site

This module covers the My Site feature in SPS 2003 and how individual users can leverage this feature to create a personalized view of the portal. Topics discussed include:

  • Creating My Site
  • Working with My Site Public and Private views
  • Modifying the User Profile
  • Sharing information on My Site

Module 12: Designing Portal Pages and Overview of Web Parts

This module introduces the student to SPS 2003 Portal pages, what design features are available using the Portal pages themselves, how to use them and the role Web Parts play in SPS 2003 and WSS. Topics will include:

  • Using the Actions menu
  • Using “Edit Page” vs. “Design this Page”
  • Designing Portal pages and Zones
  • Using the Web Part Gallery
  • Shared View vs. Personal View of Portal pages

Module 13: Working with Lists in Windows SharePoint Services

  • Creating custom Lists
  • Creating columns and selecting information types and options
  • Attaching files to lists
  • Creating and using personalized Views of Lists
    • Selecting Columns to display
    • Selecting Audiences
    • Sorting and Filtering
    • Grouping
    • Displaying Totals
  • Integration between Lists and Excel 2003
  • Using Views in Web Parts

Module 14: Creating Web Part Pages and Working with Web Parts

Web Part Pages replace the pre-SPS 2003 concept of Digital Dashboards. With SPS 2003 and WSS users can create new Web Part Pages designed to consolidate data from different sources, report and summarize critical information, etc. This module will cover:

  • Designing Web Part Pages
  • Creating new Web Part Pages
  • Using Web Part Galleries
  • Design features common to Web Parts
  • Connecting Web Parts
  • Using Web Parts included with WSS:
    • Content Editor Web Part
    • Form Web Part
    • Image Web Part
    • List View Web Part
    • Page Viewer Web Part
    • XML Web Part

Module 15: Using the FrontPage 2003 Data View Web Part to Connect To and Display External Data Sources

The new Data View Web Part in FrontPage 2003 is a Web Part that can be inserted into Web Part pages by using FrontPage. It is a very powerful and elegant Web Part that can connect to many different data sources including OLEDB, ODBC, XML, SharePoint Lists, Web Services, etc. Included in this module will be:

  • Using the Data Source Catalog in FrontPage 2003
  • Finding Data Sources, configuring them and adding them to the Catalog
  • Inserting the Data View Web Part into SPS 2003 and WSS pages using FrontPage 2003
  • Modifying the properties of Data Views
  • Customizing the look and feel of Data Views

Module 16: Using FrontPage 2003 to Customize the Look and Feel of SharePoint Sites

This module will introduce how FrontPage 2003 can be used to customize the look and feel of SPS 2003 and WSS sites. It will also point out the implications of making changes to SharePoint web pages using FrontPage 2003 vs. using the Web-based editing tools in SPS 2003 and WSS. Included in this module are:

  • Applying themes to Sites
  • Inserting graphics
  • Changing the navigation of a site

Module 17: Using Document Libraries and Integration with Microsoft Office 2003

Document Libraries are one of the fundamental components of SPS 2003 and WSS 2003 and therefore we will spend more time in this module than average.  In many cases, Document Libraries can be used as a better replacement for network drives, shared folders and/or Web folders. Office 2003 integrates very tightly with the Document Libraries to make this easy to implement and enhance overall document management. This module will cover the following topics:

  • Creating Document Libraries
  • Ways to add documents to Document Libraries
  • Specifying Metadata for documents
  • Checking documents in and out of Document Libraries
  • Using document versioning
  • Document approval process
  • Creating and using Document Workspaces

Module 18:  Techniques and Tools for Migrating Existing Documents to SharePoint 2003 Document Libraries

In most cases, to gain the full advantage of SharePoint 2003, companies will need to move their existing documents from current sources to SharePoint 2003 document libraries.  This complexity and difficulty of this task will vary depending on the source for the documents (i.e. file shares, SPS 2001, Lotus Notes, other portal products, etc.), the volume of documents, the requirements for migrating metadata and the structure of the target SharePoint 2003 document libraries.  This module will cover techniques and tools for migrating existing documents to SharePoint 2003 and includes:

  • Using out-of-the-box features to move quantities of existing documents into SharePoint 2003 Document Libraries
  • Using Microsoft's Document Library Migration tools to migrate from SharePoint 2001 Document Libraries to SharePoint 2003
  • Using third-party migration tools such as the K-Wise Deployer to migrate large volumes of documents from disparate repositories

Module 19: Using Form Libraries and Integration with Microsoft InfoPath 2003

SharePoint 2003 Form Libraries are a special type of document library that integrate tightly with Microsoft's new XML form editor, InfoPath 2003.  Together, these two new products provide an excellent solution for converting from paper-based to an electronic forms environment.  This module will cover:

  • Introduction to using InfoPath to replace paper-based forms
  • Using SharePoint Forms Libraries as repositories for InfoPath forms
  • Promoting fields in InfoPath forms to SharePoint Form Library columns to take advantage of filtering, sorting and search capabilities
  • Using the SharePoint Forms Library Merge functionality to combine multiple InfoPath forms into a single consolidated form

Module 20: Working with SharePoint Contacts and Integration with Outlook 2003

SPS 2003 and WSS have a built-in List type that is designed for managing Contacts. These Contact lists have been tightly integrated with Outlook 2003. This module will cover:

  • Creating Contact Lists in SPS 2003 and WSS
  • Customizing the settings for Contact Lists
  • Linking Contact Lists to Outlook 2003
  • Importing Contacts from Outlook 2003
  • Exporting Contact Lists to Excel 2003 spreadsheets

Module 21: Using the Office 2003 Web Components Web Parts for SharePoint Products and Technologies

This module will present the new Web Parts that Microsoft has developed for using the Office 2003 Web Components in SPS 2003 and WSS. Use of the Web Parts adds several additional features not available by simply inserting Office Web Components using FrontPage 2003. Topics discussed will include:

  • Obtaining the Office 2003 Web Parts and Components
  • Installing the Office 2003 Web Parts and Components
  • Using the Components in SharePoint pages:
    • Datasheet Web Part
    • PivotChart Web Part
    • Spreadsheet Web Part
    • Web Capture Web Part

Module 22: Working with Search

This module will cover the usage and operation of the SPS 2003 Search feature. Topics that will be discussed include:

  • Using simple search
  • Using Advanced search
  • Searching the Site Directory
  • Using the Thesaurus to affect search results
  • Using the Noise word file to affect search results
  • Defining search scopes
  • Managing Keywords and Best Bet Tagging

Module 23: Working with Alerts

Alerts in SPS 2003 notify users when information they are interested in changes. This module will present how to add and manage Alerts. Topics include:

  • Different types of Alerts that can be added
  • Specifying delivery options
  • Specifying types of changes that trigger Alerts
  • Specifying keyword filters
  • Managing Alerts

Module 24: Portal Governance

Discussion of portal governance issues including:

  • What is portal governance?
  • Why is it needed?
  • What is a portal governance framework?
  • How is it created?
  • What are the critical success factors?
