Records Management improves legal and regulatory compliance through information retention, protection, and auditing policies. It also handles litigation discovery and holding of documents.
The Records Center can provide records of versioning changes and audit specific types of changes. Metadata on records is stored and maintained separately from metadata within the record, allowing records management metadata to be updated without modifying the record itself.
Auditing logs file activity. Expiration specifies how long a record should be kept and what should happen to it at the end of the period. Barcodes provide each record with a unique barcode image and numeric value, helping to track physical records with their digital counterparts.
Records Management Strategy
1. Develop a file plan.
2. Develop a retention schedule.
3. Create a compliance requirements document.
4. Develop a formal process for suspending the disposition of records.
5. Create a system for monitoring and reporting the handling of records.
